At NextPay, we believe better financial tools help businesses grow. We’re a fast-moving fintech startup shaping the future of business banking in the Philippines, and we’re looking for a Executive Assistant to join our team to be the operational backbone for our Founders and key leaders.
This is not a typical admin role; you are the primary executer, logistics coordinator, and confidential gatekeeper. If you thrive on closing tasks, protecting time, and working with absolute discretion, this role is your launchpad.
This is a full-time, remote role (yes, work from home!) for candidates based in the Philippines, so a stable internet connection and a decent work setup are key. However, occasional in-person gatherings or meetings may happen.
💪 What you’ll be doing
🤝 Administrative & Logistical Execution
- Calendar Support: Manage and maintain the daily calendars for the Founders and select leaders, primarily focused on scheduling, confirming, and managing logistics for internal and external meetings.
- Document and Correspondence Handling: Handle routine mail, sort basic correspondence, perform document scanning and filing. Assist with routing correspondence and, when necessary, drafting simple letters or routine documents based on clear instructions.
- Research and Information Gathering: Conduct basic reading and research on topics requested by the leadership team to support meeting preparation or simple decision-making processes.
- External Coordination & Representation: Collaborate across internal teams and externally, properly representing NextPay, to ensure the accomplishment of specified tasks.
- Travel Coordination: Assist with the basic administrative tasks related to travel, such as booking flights/hotels (following pre-approved itineraries) and organizing necessary travel documents.
- Document Submission: Handle the physical and digital submission of required documents and materials to external partners, vendors, or regulatory bodies.
⏱️ Tracking and Follow-Through
- Meeting Follow-up: Schedule and actively monitor follow-up meetings and appointments, proactively reminding leaders and attendees of required preparation or action items.
- Action Item Tracking: Maintain a simple tracking system for pending items and deadlines for the leadership team, ensuring all tasks are executed or assigned correctly.
- Basic Procurement: Maintain and anticipate needed Founder and operational supplies. Handle the ordering, receiving, and inventory of materials for the leadership team.
🔒 Confidentiality & Discretion
- Information Security: Maintain strict and absolute confidentiality regarding all business activities, company strategies, internal discussions, and personal information of the Founders and leaders.
- Discretion: Protect internal operations by maintaining confidentiality even from the rest of the company on sensitive matters related to leadership's schedules, communications, and strategy.
